PROCUREMENT & ADMIN EXECUTIVE - Kuching
Requirements:
Minimum diploma in Business Administration or related field.
Experience in procurement or project administration is an advantage.
Strong organizational skills with attention to detail.
Good communication and coordination abilities.
Proficient in Microsoft Office and basic procurement systems.
Able to manage multiple tasks and meet deadlines.
Team player with a proactive attitude.
Jobs and Responsibilities:
Coordinate and provide end-to-end administrative and operational support to the Project Department, ensuring smooth project documentation, tracking, and workflow execution.
Manage project procurement activities including preparing PR/PO, sourcing suppliers, obtaining quotations, and ensuring cost-effective purchasing aligned with project requirements.
Perform vendor evaluation and comparison (price, quality, lead time, reliability) and prepare recommendation summary for approval.
Issue Purchase Orders, monitor supplier commitments, and actively follow up deliveries to ensure materials and services meet project schedule requirements.
Liaise closely with Project Managers, QS, Site Teams, and Suppliers to consolidate material requirements, delivery planning, and site readiness.
Maintain accurate procurement records, supplier database, delivery tracking, and inventory movement for audit and reporting purposes.
Track project-related costs and commitments, support cost monitoring, and assist in monthly reporting on project procurement status and expenditure summary.
Ensure procurement and documentation processes comply with company SOP, approval matrix, and required turnaround timeline.
Support project coordination tasks including meeting coordination, progress follow-ups, action tracking, and preparation of project documents for internal and external stakeholders.
Manage document control including filing, correspondence, version control, and ensuring project documentation is properly updated, accessible, and traceable.
