HR Admin Clerk is responsible for supporting the day-to-day HR and administrative operations, including employee
records, attendance, leave, payroll documentation, recruitment support, and general office administration. The role
ensures that HR records and documents are properly maintained, updated, and filed, while providing administrative
support to the HR team and employees.
Job Roles:
- Maintain and update employee personal records, employment documents, and HR files
- Handle daily attendance monitoring, including late attendance, absenteeism, missed clock-in/out, and attendance corrections
- Assist in processing employee leave applications, medical certificates (MC), emergency leave, unpaid leave, and other attendance-related matters
- Assist in preparing payroll-related documents, including attendance, overtime, allowances, claims, and deductions
- Update employee information, attendance, leave, and payroll records in the HR system
- Assist with employee onboarding, including preparation of documents, registration, and filing
- Support recruitment activities such as job advertisements, application screening, interview arrangements, and recruitment records
- Prepare and maintain HR letters, forms, notices, memos, and other HR-related documents
- Maintain proper filing of employee documents, contracts, MCs, claims, attendance records, and other HR documentation
- Assist in monitoring probation, contract expiry, work permit, passport, and other employee-related renewal dates
- Assist in preparing statutory and HR-related documents for submission when required
- Handle employee enquiries related to attendance, leave, payroll, claims, and HR procedures
- Assist in the preparation of monthly HR reports, employee listings, attendance summaries, and other HR records
- Ensure all HR records and documents are kept accurate, confidential, and properly organised
- Provide general administrative support to the HR & Admin team and assist with other duties assigned by management
Requirements:
- Diploma or Certificate in Human Resource Management, Business Administration, Office Administration, or a related field
- Previous experience in HR or administrative support is an advantage
- Basic knowledge of HR administration, attendance, leave, and payroll processes
- Proficiency in Microsoft Office, particularly Microsoft Excel and Word
- Experience with HR or attendance systems is an advantage
- Good communication and interpersonal skills
- Strong organisational and time management skills
- Attention to detail and accuracy in handling records and documents
- Able to maintain confidentiality when handling employee information
- Able to work independently and as part of a team
- Able to manage multiple tasks and meet deadlines
- Willing to learn and support various HR and administrative function
