ADMINISTRATIVE SECRETARY
i. Administrative Work
- Handle daily office operations, ensuring a smooth workflow.
- Maintain and update company data, files, and databases.
- Manage office supplies, stationery, and inventory.
- Prepare, organize, and format documents such as letters, reports, and forms.
- Assist with simple accounting tasks, such as preparing invoices, organizing receipts, and tracking payment records.
- Liaise with suppliers or service providers to arrange office repairs and maintenance.
ii. Secretarial Duties
- Arrange schedules, appointments, and meetings for management.
- Answer phones, handle emails, and manage all incoming and outgoing documents.
- Prepare meeting agendas, take meeting minutes, and follow up on pending tasks.
- Arrange business trips (airfare, hotel, itinerary).
- Properly safeguard and handle confidential documents and sensitive company information.
iii. Customer Service/Reception (Front Desk)
- Greet visitors, clients, and suppliers.
- Handle basic client inquiries or forward them to the relevant departments.
- Manage the company's mail and courier services.
- Coordination & Support
- Assist departments with administrative tasks as needed.
- Support human resources work, such as organizing attendance records, preparing documents, and arranging interviews.
- Assist with the preparation of company events, training sessions, and internal activities.
iv. Reporting & Documentation
- Prepare simple monthly reports or records required by management.
- Establish and maintain a sound document management and archiving system.
- Record important dates, such as contract renewals and license updates.
