The Admin Executive is responsible for managing and coordinating the company's daily administrative operations and
providing administrative support to management, project teams and site operations. The role involves maintaining
proper documentation, coordinating with suppliers, subcontractors and external parties, managing office and site
administrative matters, and ensuring that all administrative records are accurate, organised and up to date
Job Responsibilities
- Manage daily administrative and office operations.
- Prepare letters, memos, reports, forms and other company documents.
- Maintain proper physical and electronic filing systems.
- Handle emails, correspondence, telephone calls and general enquiries.
- Provide administrative support to management, HR and project/site teams.
- Maintain project, contractor, subcontractor and supplier documentation.
- Coordinate with suppliers, subcontractors, consultants and other external parties.
- Request quotations and assist with quotation comparison and purchasing matters.
- Prepare and follow up on Purchase Orders, Delivery Orders and invoices.
- Maintain office supplies, stationery and equipment records.
- Assist with staff attendance, leave, overtime and other administrative records.
- Assist with site administration, including manpower records, accommodation and transportation arrangements when required.
- Prepare administrative reports and update records as requested by management.
- Ensure all documents are properly organised, updated and easily accessible.
- Perform other administrative duties assigned by management.
Qualifications & Requirements
- Diploma or Degree in Business Administration, Management, Office Management or a related field.
- Minimum 2–3 years of relevant administrative experience.
- Experience in the construction or engineering industry will be an advantage.
- Proficient in Microsoft Office, especially Microsoft Excel and Word.
- Good written and verbal communication skills in English and Bahasa Malaysia.
- Good organisational and time-management skills.
- Detail-oriented with strong documentation and filing skills.
- Able to multitask and work independently.
- Good coordination and follow-up skills.
- Able to communicate effectively with management, site staff, suppliers and subcontractors.
- Responsible, disciplined and able to maintain confidentiality.
- Willing to travel to construction/project sites when required.
