LEASING & SALES ADMIN EXECUTIVE

RESPONSIBILITIES
Manage day-to-day leasing administration for the company’s commercial properties.
Prepare and manage tenancy agreements, renewals, rental schedules, deposits, and related leasing documentation.
Monitor rental collection, outstanding payments and tenant accounts, including follow-up with tenants on overdue rental and other charges.
Maintain accurate records of tenants, tenancy terms, rental rates, deposits and payment status.
Coordinate with tenants on tenancy matters, documentation, payments and general administrative requirements.
Assist in preparing rental statements, invoices, receipts and other leasing-related documents.
Liaise with internal accounts and management teams on rental collection, debtor matters and reconciliation.
Monitor tenancy expiry dates and assist with renewal, termination and handover processes.
Assist with general property management administration and maintain proper filing and documentation.
Provide administrative support for property sales, including preparation of sales-related documents, payment follow-up and coordination with solicitors, purchasers and internal teams when required.
Perform other administrative duties and ad-hoc tasks assigned by management.

REQUIREMENTS
Preferably 2 years of working experience in leasing, property administration, property management or a similar capacity, preferably within the property development industry.
Strong understanding of rental collection, tenancy administration and debtor follow-up.
Meticulous, organized and highly detail-oriented, with good follow-up skills.
Diligent, motivated, trustworthy and resourceful.
Able to work independently, manage multiple tasks and meet tight deadlines with minimum supervision.
Good written and spoken English.
Ability to communicate in Mandarin/Chinese is an added advantage.
Proficient in Microsoft Office, particularly Excel.
Knowledge of Unity Property Information System is an added advantage.
Candidates with experience handling commercial leasing / shopping mall / retail tenants will have an added advantage.
