ADMIN ASSISTANT - Kota Samarahan, Sarawak
Job Description:
• Based at Facilities Department, Kolej Dahlia UNIMAS and assist the overall administration of Facilities Department.
• Assist in facility operation, especially on hostel accommodation, rental operation of Student Pavilion, vending
machine and others and perform a variety of administrative tasks and report to Facilities Manager.
• Prepare monthly report such as tenant’s list, occupancy rate, inventory update and any job-related issues/
activities required for management reviews.
• Keep an up-to-date record of all tenants and inventory list.
• Assist to process students’ hostel applications including admission, check-in/check-out, refund and other related
matters. Assist in coordinating hostel allocation matters with colleagues and students.
• Assist in making sure on time payment is made by all tenants and to report any late payment.
• Assist with and follow up on hostel enquiries including appeals, waitlists, room changes and other related matters.
• Attend to students’ inquiries, feedback, requests, issues, grievances in a proper manner.
• Maintain records, inspect, and ensure an adequate inventory of all tools, materials and assets related to Facilities
Department.
• Support UHSB overall administration and operations regarding student matters including their well-being, health,
safety and discipline.
• Provide administrative support to management as and when required. Coordinate and cooperate with other
relevant departments in terms of administration, maintenance, operation and any other related work.
• Perform any other duties, within the general framework of the Job Description's, as may be assigned from time to
time.
Job Requirements
• Possess at least an SPM or equivalent.
• Minimum 1-2 years of experience as an Administrative Assistant or similar role is an added advantage.
• Possess own transport.
• Able and willing to work long hours.
• Available to be called back on duty as and when required, including rest days and public holidays.
• Computer literate with proficiency in MS Office.
• Able to work independently with minimum supervision and results oriented.
• Strong team player with a highly motivated, committed and positive working attitude.
• Good analytical, communication, and interpersonal skills.
• Able to speak, read and write in Bahasa Malaysia and English.
• Able to work under pressure and within tight timelines.
• Candidates with knowledge of design in Canva and experience in social media will have an added advantage.
