HR & Admin Executive (Kota Samarahan, Sarawak)

Key Responsibilities
Manage the full recruitment cycle, including manpower requisition, job advertisements, candidate sourcing, interview coordination, onboarding, and employee documentation.
Process monthly payroll, including verification of attendance, leave, overtime, allowances, statutory deductions and final salary calculations.
Prepare and submit statutory contributions and reports (EPF, SOCSO, EIS, PCB/Income Tax, HRDC and other statutory requirements) within the stipulated deadlines.
Ensure compliance with the Employment Act, company policies, and all relevant labour laws and statutory regulations.
Handle employee relations matters, including disciplinary actions, grievance handling, counselling, and HR advisory.
Prepare and maintain HR documentation, including employment contracts, confirmation, promotion, transfer, resignation, warning letters, and other employee-related correspondence.
Maintain accurate and confidential employee records, personal files, HR databases, and leave records.
Coordinate employee onboarding, orientation, probation confirmation, performance appraisal, training, and offboarding processes.
Liaise with government agencies and external authorities on HR-related matters, including Labour Department, Immigration, EPF, PERKESO, LHDN, CIDB, HRDC and other relevant authorities.
Manage CIDB license renewal, foreign worker permit and passport renewals and other regulatory requirements.
Handle general administrative functions, including office administration, filing, record management, correspondence and document control.
Oversee office facilities, office maintenance, office equipment, stationery and pantry supplies.
Ensure monthly utility bills (water & electricity) and other administrative invoices are verified and submitted to the Finance Department for payment.
Coordinate company assets, access cards, uniforms, office keys, and other administrative resources.
Organise company events or staff activities when required.
Provide administrative support to Management and perform any other ad hoc duties as assigned.

Requirements
Diploma or Bachelor’s Degree in Human Resource Management or Business Administration.
Minimum 2–3 years of relevant experience in Human Resources and Administration.
Hands-on experience in end-to-end recruitment, payroll processing, employee relations and HR administration.
Good knowledge of the Malaysian Employment Act, Industrial Relations practices and statutory requirements (EPF, SOCSO, EIS, PCB/Income Tax, HRDC, etc.).
Experience in payroll processing and statutory submissions is essential.
Familiarity with SQL Payroll Software will be an added advantage.
Experience in CIDB licence renewal, foreign worker administration and Immigration matters.
Proficient in Microsoft Office applications.
Strong organisational, communication, interpersonal and problem-solving skills.
Able to work independently, prioritise multiple tasks and meet deadlines in a fast-paced environment.
High level of integrity with the ability to maintain confidentiality of employee and company information.
Good command of both written and spoken English and Bahasa Malaysia.
Responsible, proactive, detail-oriented, and willing to learn.
