The Operations Assistant supports the daily activities of the company to ensure smooth and
efficient business operations, this role involves coordinating administrative tasks, monitoring
operational processes, preparing reports, and assisting the operations team in achieving
company objective.
Key Responsibilities:
Operational Support
Assist in daily operational activities and workflow coordination.
Support the implementation of operational procedures and policies.
Monitor operational schedules and ensure tasks are completed on time.
Administration Duties:
Prepare and maintain operational documents, reports and records.
Handle data entry and update operational trackers or systems.
Assist in filling, documents, and record management.
Prepare daily, weekly, monthly operational reports for management review.
Maintain KPI trackers for operation.
Check data accuracy across system and spreadsheet.
Coordination & Communication
Support meetings by preparing materials and taking minutes if needed.
Communicate operational updates to relevant stakeholders.
Compliance & Support
Ensure operational activities comply with company policies and SOPs.
Support audits, inspections, or internal reviews.
Other Duties
Perform ad-hoc tasks assigned by the direct superior or any other Director(s)
Job Requirements
Education & Experience
Minimum Diploma in Business Administration, Operations Management or related field 1-2 years of working experience in operations, administration, or related role.
Skills
Strong knowledge of Microsoft Excel, including:
Pivot Tables for data analysis and reporting.
Basic formulas (VLOOKUP/XLOOKUP, IF, SUMIF, COUNTIF)
Data, validation, and reporting summaries.
Ability to perform operational reporting and analysis accurately.
Attention to detail with ability to handle large sets of date.
Good communication skills and ability to work with cross-functional teams.
