Perform project registration, maintain and update project filing systems (physical and digital).
Identify quotation/tender opportunities and assist in marketing and promotion activities related to UHSB Core Business.
Prepare letters, memos, reports, project documentation and ensure all documents follow UNIMAS Holdings’ documentation standards and internal SOP.
Assist in preparing and verifying tender documents, quotations, meeting minutes, invoices, delivery orders, and claims.
Track project correspondences with consultants, contractors, vendors, internal units and all relevant stakeholders.
Compile and update project status, progress and related information from consultants, contractors, clients and other relevant parties under the project department purview.
Review and maintain financial documentation for each project and ensure confidentiality and data integrity for all project-related information.
Handle incoming communications, schedule project meetings and related preparation.
Communicate reminders, updates, and notices as instructed by the Senior Project Manager and Business Development Manager.
Undertake any ad-hoc tasks assigned by the Head of Department or Management.
Job Requirements
Possess at least an SPM or equivalent.
Minimum 1-2 years of experience as an Administrative Assistant or similar role is an added advantage.
Possess own transport.
Able and willing to work long hours.
Available to be called back on duty as and when required, including rest days and public holidays.
Computer literate with proficiency in MS Office.
Able to work independently with minimum supervision and results oriented.
Strong team player with a highly motivated, committed, and positive working attitude.
Good analytical, communication and interpersonal skills.
Able to speak, read and write in Bahasa Malaysia and English.
Able to work under pressure and within tight timelines.
