Role Overview
We are looking for a detail-oriented and proactive Admin Executive to support our project and 
commercial teams in managing all claims-related activities for our ZTE customer accounts. 
This role ensures that claims are submitted accurately, supported with proper documentation, 
and tracked systematically to maintain healthy cash flow and timely billing.

Key Responsibilities:

  • Purchase Order Verification
  • Check and verify Purchase Orders (POs) issued by ZTE.
  • Ensure PO details match approved scopes, pricing, and quantities.
  • Highlight discrepancies or missing POs to the Project Manager for immediate follow-up.
  • Workload Application Submission
  • Prepare and submit workload applications through the ZTE customer portal.
  • Ensure supporting documents are complete and comply with customer requirements.
  • Track submission status and follow up on pending approvals.
  • Invoice Submission
  • Prepare invoices based on approved POs and workload confirmations.
  • Upload and submit invoices through the customer portal within the required timelines.
  • Monitor invoice acceptance or rejection status and coordinate with internal teams for  rectification where needed.
  • Claims Tracking and Reporting
  • Maintain a structured tracker for all claimable and non-claimable amounts.
  • Update status for each submission (workload, invoice, PO) for easy visibility.
  • Generate periodic reports for management review.
  • Internal Coordination
  • Coordinate closely with the Project Manager, Finance, and field teams to align on required documents and claimable scopes.
  • Flag issues such as missing POs, incorrect PO amounts, or rejected claims for timely escalation.

Requirements:

  • Minimum Diploma in Business Administration, Accounting, or related fields.
  • Strong attention to detail and good numerical skills.
  • Familiarity with customer portals or project billing processes is an advantage.
  • Proficient in Microsoft Excel or Google Sheets (for maintaining trackers).
  • Good communication skills and ability to coordinate across departments.
  • Ability to work independently and meet deadlines.
  • Preferred Attributes:
  • Experience working with telecommunications customers such as ZTE, Huawei, Ericsson, or CelcomDigi is an added advantage.
  • Organized, process-driven, and strong follow-through in daily tasks.
  • Positive attitude and willingness to learn.
